Human Resources and Administration Executive

ClubCo is a unique and exciting new co-working space in the heart of the Singapore CBD that is a lifestyle working hub for our members, combining with a fully-functioning restaurant and café (Club Meatballs and ClubCo Cafe).

We want to continue to build a strong and motivated team that helps develop a solid membership base through targeted sales and marketing campaigns, creating appealing events and relevant content for our members and potential members alike, and offering the highest possible level of service to all existing clientele.

We are looking for team members who are enthusiastic and highly motivated, who are passionate about the service industry and committed to building and continually improving our offering to the public. All members of the team will be dedicated to ensuring maximum client satisfaction within our outlet’s facilities and must be able to work with the Management team to implement an aggressive growth plan.

Recruitment, Confirmation & Resignation

  • Ensure that suitable candidates are hired on time to suit the company’s function
  • Draft and approve publication of job advertisement
  • Recruitment and selection of staff (screening resumes, arrange & conduct interviews) with MD
  • Prepare Letters of Appointment, confirmation, extension of probation etc.
  • Draft Job Description for new employees

·       New employee orientation, setup email and other necessary things

·       Notify necessary parties to raise request for the relevant access for the new hires

·       Apply for and renew employment pass / work permits when necessary

·       Process employee exit check list, ensure the return of company’s property

  • Conduct exit interviews, document the reasons and make improvement if needed

·       Coordinate any legal issues


Accounts Management

·       Work with our external accountant to provide all information required.

·       Key in and issue customer invoices, supplier payments, petty cash reimbursement, payroll and journal vouchers

·       Follow up on Customer outstanding payments

·       Bank in customer cheques and apply receipts to customers’ accounts

·       Issue cheques / TT on a weekly basis

·       Update cash-flow status on a weekly basis

·       Interco billing to Singapore and other related companies

·       Submit Estimated Chargeable Income (ECI) to IRAS

·       Prepare quarterly GST F5 e-submission to IRAS 

·       Assist in reviewing and monitoring internal control procedures

·       Carry out general clerical duties includes filing, data entry and record keeping

·       Perform ad-hoc assignments as well as any other related duties as assigned by supervisors

·       Preparing and processing salary payments by end of month (Via UOB BIB)

Compensation, Benefits & Welfare

  • Develop ClubCo procedures manual for all ClubCo and Club Meatballs roles with GM
  • Handle company’s  corporate travel accounts.  Apply and terminate for new hires/resignees
  • Propose initiatives to management to improve staff performance and enjoyment
  • Record birthdays and anniversaries and arrange celebratory cakes/occasions
  • Verify all staff expense claims and submit to MD for approval
  • Review the relevant group medical insurance coverage for staff annually
  • Ensure all staff have cleared their carried forward leave before it expires by EOFY
  • Arrange for company outings and events.

Performance Management

  • Coordinate confirmation interviews and annual Performance Appraisals with GM or Restaurant Manager
  • Consolidate all appraisals and make recommendation on increment/salary adjustment
  • Ensure proper documentation of performance appraisal for staff

Policies & Procedures

  • Set up relevant policies to create consistency and transparency
  • Oversee the validity & legality of human resource policies and employment contracts

Administration & IT

  • Update staff records list
  • Order name cards for all employees
  • Maintain records for security passes for main doors and keys to offices
  • Help arrange all ClubCo team and client functions and events (alongside Events Executive)
  • Liaise with Company Secretary to ensure the business always complies with local regulations
  • Record and manage National Service duties, claim portions of salary to be reimbursed
  • Manage Childcare benefits and claim portions of salary to be reimbursed
  • Maintain staff leave records and manage punctuality on a regular basis
  • Coordinate office tenancy agreement renewal and services required
  • Liaise with Landlords on issues with premises
  • Manage insurance policies – for office and employees
  • Look at potential grants for ClubCo (including PIC) and work at how to achieve these grants
  • Oversee and reorder office stationary and drinking water
  • Photocopier and other office equipment maintenance
  • Supervise cleaning lady day-to-day duty and ensure well maintenance of office environment

Membership Management

·       Assist members with issues and enquiries for ClubCo.

·       When required show around members, giving them tours and information.

·       Help on board members and give them access to space, IT and updating of credits.

·       Help with IT, printing and wifi issues.


·       Minimum Diploma or Degree in Administration/accounts

·       At least 5 years relevant experience

·       Qualification of an International recognised accounting body is preferred

·       Good interpersonal and communication skills

·       Singaporean Resident or LOC
